Credentials & Supplier Status Explained

A guide to understanding supplier integration status on PSRESTful

What is PromoStandards?

PromoStandards is a set of web-service specifications that allow promotional products suppliers and distributors to exchange data electronically — product catalogs, pricing, inventory levels, media content, purchase orders, order status, and invoices.

PSRESTful acts as a bridge: it converts those SOAP/XML services into a modern REST/JSON API so you don't have to implement the complex SOAP protocol yourself.

What Does "Supported" Mean?

When a supplier is marked as Supported, it means all necessary endpoints are configured on PSRESTful to communicate with that supplier's PromoStandards web services. The supplier's service URLs, versions, and response formats have been verified and mapped so our platform can relay requests and return data to you.

What Does "Credentials Available" Mean?

When a supplier shows Credentials Available, it means Gallardo Solutions has obtained agent credentials from that supplier. These shared credentials allow PSRESTful to fetch public catalog data on your behalf — without you needing to request your own credentials from the supplier.

Two Types of Credentials

Not all PromoStandards services work with the same credentials. The distinction comes down to whether the data is public catalog information or customer-specific transactional data.

Agent / Shared Credentials

Provided by the supplier to Gallardo Solutions. Work out of the box when credentials are available.

  • Product Data — full product catalog
  • Media Content (MED) — product images & documents
  • Pricing & Configuration (PPC) — net & list prices only
  • Inventory (INV) — real-time stock levels

Your Own Credentials

You must obtain these directly from the supplier. Required for customer-specific data.

  • Customer Price (PPC) — your negotiated pricing
  • Purchase Order (PO) — placing orders
  • Order Status (ODRSTAT) — tracking your orders
  • Order Shipment Notification (OSN) — shipment updates
  • Invoice (INVC) — your invoices

Why the Distinction?

The services that work with agent credentials all return public catalog data — product descriptions, images, list/net prices, and inventory levels. This information is the same regardless of which distributor is asking, so a single shared credential works fine.

The services that require your own credentials deal with customer-specific, transactional data. Your negotiated pricing, your purchase orders, your invoices — these are private to your business relationship with the supplier. The supplier needs to know who is making the request so it can return the correct data and authorize the transaction.

In short: public data = shared credentials, private data = your credentials.

How to Get Your Own Credentials

If you need customer-specific services (pricing, PO, order status, invoices), follow these steps to request credentials from a supplier:

  1. 1
Go to promostandards.org/standards-endpoints (requires a free PromoStandards account).
  2. 2
Search for the supplier by name.
  3. 3
Find the Product Data row and click the key button (🔑) to open the "Request Authentication Credentials" form.
  4. 4
Fill in your Name, Email, Industry Identifier (e.g., your ASI number), and Phone.
  5. 5
In the Message field, request credentials for Product Data and mention any other services the supplier supports. For example:
"I would like to request credentials for Product Data, Media Content, Inventory, and Pricing & Configuration."
  6. 6
    Submit the form.
  7. 7
If the supplier doesn't respond within 3 business days, contact them directly through their website or your sales representative.
